In Microsoft Teams (free), you can easily create meetings with your contacts. You can create instant meetings when you want to start the meeting now, or you can create scheduled meetings to share with your contacts. Do you want to create a meeting, but don't have an account for Microsoft Teams (free)? Sign up now.

Note: In Microsoft Teams (free), you can create meetings of up to one hundred participants for up to 60 minutes. Learn more about Teams subscriptions.

  1. There are multiple ways to create an instant meeting:

    • From your Chat tab, tap Meet at the top of the list.

    • Tap your profile picture, then tap Calendar. At the bottom of the screen, tap Expand meetings menu Teams community schedule new even button> Meet now Meet now button.

  2. You can tap Edit Edit button to change the name of the meeting.

  3. Tap Share meeting invite The Share button to share your meeting link via SMS and more.

  4. Tap Copy meeting link Copy meeting link button to copy the meeting invite link to your clipboard.

  5. Tap Meeting options Meeting options icon to configure the meeting's privacy options. You can set Who can bypass the lobby and Who can present options from the dropdown menu. After you make your selection, tap Save.

  6. Tap Start meeting to begin. Your meeting is created, and your meeting link is displayed in the meeting chat. You can copy and share this link at any time.

  7. Set your audio and video options and tap Join now. You can Add participants or Share meeting invitefor people to join.

Note: You can configure the meetings privacy options anytime during the meeting. Tap Show participants Show Participant icon> Meeting options Meeting options icon. Then you can set Who can bypass the lobby and Who can present options from the dropdown menu. After you make your selections, tap Save.

Note: In the Communities in Teams, to schedule a community event, create it in the community's calendar.

  1. Tap your profile picture,thentap Calendar. At the bottom of the screen tap Expand meetings menu Teams community schedule new even button > Schedule a meeting.

  2. Give your meeting a name in the Event name field.

  3. You can Add participants to your meeting by entering their name or email. You can also find participants by phone number if they are Teams users.

  4. You can set the meeting for All day, or you can fill out the start and end fields to schedule your meeting. You can also set the meeting to repeat, set a Location, or add a Description.

  5. Tap Submit Teams OK button to schedule your meeting.

  6. Your meeting appears on your Calendar.

    • Tap the meeting, then Share meeting invite Teams Android share icon to share your meeting link via SMS, Skype, and more.

    • You can configure the meeting's privacy options multiple ways. Tap the meeting, then tap Event options Settings buttonor join the meeting and tap Show participants Show Participant icon> Meeting options Meeting options icon. Then set Who can bypass the lobby and Who can present options from the dropdown menu. After you make your selection, tap Save.

  7. Tap Join to start the meeting, set your audio and video options, and select Join now to enter the meeting as the host.

Important: The options can vary based on screen size. If you do not see the button, you may need to tap More More options button to bring up more call options.

In the meeting, you can select the following:

  • Teams Chat Bubbles button Chat to display the meeting chat.

  • Show Participant icon Show participants where you can add people and manage the lobby.

    • Teams add member to chat Add People where you view participants and add people to the meeting.

    • Meeting options button Meeting option use the lobby option if you don't want participants to join the meeting before it starts.

  • Video off button Enable/disableyour camera.

  • Microphone button Mute/unmute your microphone.

  • Mobile speaker options button Change your audio options to Device, Speaker, or Audio off.

  • Tap More More options button to bring up more call options:

    • Raise your hand in the call or send a reaction.

    • Teams Chat Bubbles button Chat to display the meeting chat.

    • Show participants button People where you can view meeting participants, add people to the meeting, and manage the lobby.

    • Share button Share photos, videos, or your device screen.

    • Layout button View to show the current call layout.

    • Turn closed captions on or off Turn on live captions.

    • Teams community don't show chat bubble button Don't show chat bubbles.

    • Hold button Put yourself on hold.

    • Video off button Turn off incoming video.

When a Microsoft Teams (free) user sends a calendar invitation, information pertaining to organizer’s email will be made available to the recipients.  Invites include the name of the meeting, the organizer, start and end time, whether it's a reoccurring meeting (not available for SMS), location, and a link to join the meeting. Participants can start a conversation in the meeting chat before the meeting begins. SMS participants can reply within the SMS and the message posts in the meeting chat. These invitations may be sent via email or SMS, on behalf of the organizer.

For users that sign in with their email based Microsoft account (based on Outlook, Hotmail, MSN, etc.):

  • Email recipients will be shown the organizer’s Microsoft account email address. This email address will be shown to the organizer in the header when the calendar invitation is being prepared.

  • SMS / phone number-based recipients are sent an SMS, which contains an invite to join Microsoft Teams (free).

For users that sign in with a phone number-based Microsoft account, or sign in with an email based Microsoft account using non Microsoft email (for example, Gmail, Yahoo!):

  • Email recipients will be shown a system-generated email address created by Microsoft that is unique to the organizer.

  • SMS / phone number-based recipients are sent an SMS, which contains an invite to join Microsoft Teams (free).

Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes. If a user's Gmail account is connected to their Google calendar, then Teams will use the invitee's Gmail account instead of the system-generated email address created by Microsoft.

When a Microsoft Teams (free) user adds a calendar event to their personal calendar, information pertaining to recipient’s email is available to other attendees of the meeting.

For users that have accepted a calendar invitation and added it to their personal calendar and that sign in with:

  • An email-based Microsoft account (based on Outlook, Hotmail, MSN, etc.), their Microsoft account email address will be visible to other attendees/meeting participants.

  • An email-based Microsoft account using non-Microsoft email (for example, Gmail, Yahoo!) or a phone number-based Microsoft account, a system generated email address created by Microsoft that is unique to the user will be visible to other attendees/meeting participants.

Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes.

Users can login to Outlook.com to export their calendar invitations. Learn how to import and export Outlook email, contacts, and calendar.

Teams for work or school account users will be able to join the meeting as a guest. In case Teams for work or school account users are signed in to Teams for personal or small business use, then they will join using their personal account. Teams for work or school user’s organization’s privacy policy and data handling terms do not apply to participation in Teams for personal and small business use meetings. Instead, the Microsoft Privacy Statement governs data handling for meetings you invite others to join.

      • From Chat in Windows 11, select the Open Teams button  Teams open Teams in Windows 11.

  2. Enter a name for the meeting.

  3. Select Get a link to share to generate a link that you can copy to your clipboard and share in any way you wish.

  4. After you select Get a link to share, you can configure the meeting's privacy options.

    • Select Configure meetings options, then a new tab opens in your default browser where you can set Who can bypass the lobby and Who can present options in the dropdown menu. Make your selections, then Save.

    • You can configure the privacy options anytime during the meeting.

  5. You can generate a link to share, select Share via email.

  6. Select Start meeting to begin.

    • Invite people to join. Search for people to invite to your meeting.

    • Copy meeting link or Share via default email.

  7. Set your audio and video option. Learn more about how to customize your background in the pre-join screen.

Note: You can configure the meeting's privacy options anytime during the meeting. Select More actions Teams settings and more button > Settings Settings button > Meeting options Meeting options icon. Then you can set Who can bypass the lobby and Who can present options from the dropdown menu. After you make your selections, then Save.

  1. Open Microsoft Teams (free).

    Tips: 

    • From the mini Teams window in Windows 11, select the button The open Teams button in Mini Teams. to open Microsoft Teams (free).

    • From Chat in Windows 11, select the Open Teams button  Teams open Teams in Windows 11.

  7. After you save the meeting, participants receive an invite with the name of the meeting, the organizer, start and end time, whether its's a reoccurring meeting (not available for SMS), location, and a link to join the meeting.

    • Participants can start a conversation in the meeting chat before the meeting begins. SMS participants can reply within the SMS and the message posts in the meeting chat.

    • Participants that accept the original invite can join the meeting without waiting in the lobby. All other participants who try to join with a meeting link will wait in the lobby. You can change the default Who can bypass the lobby option.

    • Now you're ready to Join a meeting in Microsoft Teams (free).

Note: You can also configure the privacy options by selecting Meeting options. After a new tab opens in your default browser you can set Who can bypass the lobby and Who can present options from the dropdown menu.

In the meeting, you can select the following:

  • Teams Community turn camera on or off Enable/disableyour Camera.

    • Select the Calendar tab, select Meet now Video call button at the top of the screen, and then click Create a meeting.

  2. Enter a name for the meeting.

  3. Select Get a link to share to generate a link that you can copy to your clipboard and share in any way you wish.

  4. After you select Get a link to share, you can configure the meetings' privacy options.

    • Select Configure meetings options, then a new tab opens in your default browser where you can set Who can bypass the lobby and Who can present options in the dropdown menu. Make your selection, then Save.

    • You can configure the privacy options anytime during the meeting.

  5. Your browser asks permission to use your recording device, and you must grant access if you wish speak in the meeting. You will have the option to disable sound for the meeting.

  6. Select Start meeting. You can set your audio and video options, then select Join now.

  7. You can Copy Meeting link to generate a link to share, Share via Outlook Calendar, Share via Google Calendar, or Share via default email in Microsoft Teams (free) for Windows 11.

    Note: You can configure the meeting's privacy options anytime during the meeting. Select More actions Teams settings and more button > Settings Settings button > Meeting options Meeting options icon. Then you can set Who can bypass the lobby and Who can present options from the dropdown menu. After you make your selection, then Save.

  1. From the Calendar tab, select the New Meeting button at the top of the screen.

  2. Give your meeting a name in the Add title field.

  3. Enter a name, email, or phone number to add participants to your meeting.

  4. You can fill out the start and end fields to schedule your meeting or set the meeting for All day. You can also set the meeting to repeat, add a location, or add details.

  5. Select Send to schedule your meeting.

  6. You can choose Copy link Copy meeting link button to copy your meeting invite link and share, or you can use Google Calendar to create and send the meeting through Google Calendar. Your meeting will appear on your calendar.

  7. After you save the meeting, all participants receive an invite with the name of the meeting, the organizer, start and end time, whether its's a reoccurring meeting, and a link to join the meeting.

  • Participants can start a conversation in the meeting chat before it starts. SMS participants can reply within the SMS and the message posts in the meeting chat.

  • Participants that accept the original invite can join the meeting without waiting in the lobby. All other participants who try to join with a meeting link will wait in the lobby. You can change the default Who can bypass the lobby option.

  • Now you're ready to Join a meeting in Microsoft Teams (free).

Note: To configure the meeting's privacy options, open the meeting Details and select Meeting options. A new tab opens in your default browser where you can set Who can bypass the lobby and Who can present options from the dropdown menu.

In the meeting, you can select the following:

  • Video off button Enable/disableyour camera.

  • Microphone button Mute/unmute your microphone.

  • Share button Share your desktop.

  • More options button More actions to bring up your call options.

    • Settings button Access your Device settings to check your audio and video devices.

    • Meeting information button Meeting info shows the meeting's title, copy the meeting link, and more.

    • Live captions button Turn on live captions.

    • The Meeting options icon in the Call options dialog in Teams for desktop Open the Meeting options to control who can bypass the lobby or present content.

    • Change your view.

    • Teams end meeting icon End the meeting.

    • Video off button Turn off incoming video.

  • Raise hand button Raise hand to raise your hand in the call.

  • Teams Chat Bubbles button Show conversation to display the meeting chat.

  • Show participants button Show participants to view or add participants from your contacts.

When a Microsoft Teams (free) user sends a calendar invitation, information pertaining to organizer’s email will be made available to the recipients.  Invites include the name of the meeting, the organizer, start and end time, whether it's a reoccurring meeting (not available for SMS), location, and a link to join the meeting. Participants can start a conversation in the meeting chat before the meeting begins. SMS participants can reply within the SMS and the message posts in the meeting chat. These invitations may be sent via email or SMS, on behalf of the organizer.

For users that sign in with their email based Microsoft account (based on Outlook, Hotmail, MSN, etc.):

  • Email recipients will be shown the organizer’s Microsoft account email address. This email address will be shown to the organizer in the header when the calendar invitation is being prepared.

  • SMS / phone number-based recipients are sent an SMS, which contains an invite to join Microsoft Teams (free).

For users that sign in with a phone number-based Microsoft account, or sign in with an email based Microsoft account using non Microsoft email (for example, Gmail, Yahoo!):

  • Email recipients will be shown a system-generated email address created by Microsoft that is unique to the organizer.

  • SMS / phone number-based recipients are sent an SMS, which contains an invite to join Microsoft Teams (free).

Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes. If a user's Gmail account is connected to their Google calendar, then Teams will use the invitee's Gmail account instead of the system-generated email address created by Microsoft.

When a Microsoft Teams (free) user adds a calendar event to their personal calendar, information pertaining to recipient’s email is available to other attendees of the meeting.

For users that have accepted a calendar invitation and added it to their personal calendar and that sign in with:

  • An email-based Microsoft account (based on Outlook, Hotmail, MSN, etc.), their Microsoft account email address will be visible to other attendees/meeting participants.

  • An email-based Microsoft account using non-Microsoft email (for example, Gmail, Yahoo!) or a phone number-based Microsoft account, a system generated email address created by Microsoft that is unique to the user will be visible to other attendees/meeting participants.

Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes.

Users can login to Outlook.com to export their calendar invitations. Learn how to import and export Outlook email, contacts, and calendar.

Teams for work or school account users will be able to join the meeting as a guest. In case Teams for work or school account users are signed in to Teams for personal or small business use, then they will join using their personal account. Teams for work or school user’s organization’s privacy policy and data handling terms do not apply to participation in Teams for personal and small business use meetings. Instead, the Microsoft Privacy Statement governs data handling for meetings you invite others to join.
